Administrative Assistant

Position: Administrative Assistant

Location: Rocky Mountain Supply Administration Building

Employment Type: Full Time

Key Responsibilities: 

  • Provide excellent Customer Service
  • Ability to work effectively with patrons, management, and fellow employees.
  • Primary for answering phones and providing walk-in customer service.
  • Accounts Receivable, processing ROAs and store reconciliations.
  • Fuel and Credit Card reconciliations/
  • General office duties that need attention.

Basic Qualifications: 

  • Basic computer skills and understanding of basic computer programs such as Excel and Outlook.
  • Proficient in computer programs such as Microsoft 360 Suite products
  • Excellent customer service skills.
  • Strong communication and organizational skills.
  • Proven ability to handle multiple projects simultaneously.
  • Ability to manage time, prioritize tasks, and be self-motivated.

Preferred Qualifications: 

  • Accounting experience (AP/AR experience preferred).
  • Office experience of 1 year with accounting duties (preferred).

General Information: 

  • This is a Full-time position w/ full time benefits offered.
  • Office hours are Monday – Friday,  8 am – 5 pm with a one-hour lunch break.
  • Pay $23.00 – $25.00 per hour

Assistant Store Manager - Ennis

Position: Assistant Store Manager

Location: Rocky Mountain Supply Ennis Retail Store

Employment Type: Full Time

Position Objective: This position will work alongside the Retail Store Manager to ensure all store objectives are met, including, but not limited to, Customer Service, Staffing, Store Presentation, Paperwork, Sales, Expense Control, Gross Margins, and Safety. This position will also serve as the acting Manager when the Store Manager is not present.

Primary Duties and Responsibilities: 

1. Specific Job Duties: 

  • Superior customer service must be a priority each day in all we do.
  • Ensure all daily paperwork is completed as required. (daily business, fuel, etc.).
  • Maintain high store standards at POS counters.
  • Ensure all applicable employees meet compliance for alcohol/tobacco training.
  • Be an active participant in store cycle count programs and physical inventory.
  • Maintain store standards throughout the premises, both inside and outside the building.
  • Act as the “Manager on duty” during times the store manager is not present.
  • Maintain open POS counters during all designated posted times.
  • Monitor and maintain fuel islands, including cleaning, trash, painting, fuel pricing, etc.

    2. Skills Necessary for Job Performance

        • The ASM must have a good understanding (or a willingness to learn) of retail store operational components. This includes, but is not limited to, cashiering, cash balancing, receiving, warehouse/fence yard duties, food service, safety, and compliance.
        • Must have excellent communication skills, both written and verbal.
        • Knowledge of computers, including but not limited to Word and Excel.
        • Ability to prioritize and work with competing demands.
        • Attention to detail.
        • Be able to travel to other locations as needed. Overnight stays may be required throughout the year to include training, other store assistance, etc.

        3. Personal Attributes 

        • Honest, hardworking, and dependable.
        • Be friendly and have a good attitude.
        • Be service-oriented and able to work with a variety of clientele.
        • Be company-oriented, willing to go the extra mile for the whole company and its patrons.

        4. Experience and Licensing Requirements 

        • Operations knowledge/experience is desired but not required.
        • Have a clean and insurable driving record: No serious offenses within the past 3 years.
        • Be capable of operating within the Montana Department of Transportation rules and regulations, including but not limited to: Posted speed limits, traffic signs, and seat belt law.
        • Retail experience preferred but not required. 
        • High school diploma or equivalent. 

        5. Training and Safety Requirements 

        • The ASM will be asked to attend safety meetings on occasion. 
        • Must keep up on all required company trainings. 
        • Report all accidents to Store Manager. 
        • Inform the Store Manager of any safety issues brought to your attention.
        • The ASM will be responsible for learning what appropriate safety equipment and supplies are available, where the equipment and supplies are kept, and how to properly use and maintain such equipment. The equipment and supplies will include items such as fire extinguishers, first-aid kits, road triangles, hard hats, gloves, goggles, and earplugs.
        • Must adhere to all RMS policies and procedures. 

        6. Working Conditions

        • Candidate must be able to stand, sit, and walk for extended periods of time.
        • Must be able to communicate with stores, vendors, and customers via in-person, email, and phone.
        • Lifting and carrying – up to 50 pounds as needed. 

        7. Other Duties 

        • Rocky Mountain Supply, Inc would appreciate the willingness of the employee to support the Company in a variety of ways in addition to your daily duties. This might include attending, but is not limited to, company functions such as: Annual Meeting; Producer Events; Company Picnic; Helping with Parades; Open House; Booths at the Fair, etc.
        • The ASM role is a salary position. Weekly schedules will vary, and all ASM employees must be available to work nights and weekends. 
        • Fuel islands maintained to company standards
        • Other duties as assigned.
